Last Update: September 2025
These Terms and Conditions (“Terms”) governs the relationship between you, the purchaser or traveler (“Traveler,” and “you/your”) and Revive and Roam, LLC, a North Carolina limited liability corporation (“Revive and Roam,” “we,” “us,” “our”). By booking any travel services (in whole or part) through Revive and Roam, or paying any fees or deposits, you agree to be bound by these terms, plus any additional terms of our suppliers, carriers, or third parties (“Supplier(s)”).
In the event of any conflict, these Terms control with respect to services we provide; for services provided solely by Suppliers, their terms govern.
1. Scope of Services
1.1 Incorporation of Documents
These Terms and any addendum, the Client Agreement, our website disclosures, correspondences, and Supplier terms together form the agreement between you and Revive and Roam, LLC.
1.2 Authority & Responsibility
You warrant that you are at least 18 years of age and possess the legal authority to enter into an agreement with Revive and Roam, to make travel bookings. You agree to be financially responsible for travel bookings you make with us, whether on behalf of yourself or for other members of your traveling party. If you book travel for others, you warrant that all information supplied by you on behalf of yourself or others for whom you are authorized to transact business with us is true and accurate. You agree that you will only make legitimate reservations or purchases with Revive and Roam and its Suppliers, and you acknowledge that, without limitation, any speculative, false, or fraudulent reservations are prohibited.
1.3 Review & Questions
You acknowledge and agree to read and understand these terms before booking or paying any planning fee. If anything is unclear, you agree to ask us before confirming.
2. Booking Process & Payment
2.1 Inquiry & Planning Fee
To inquire about our travel services, you may contact us on our website, by email at info@reviveandroam.com, or by completing the Inquiry Form on our website.
Upon receipt of your inquiry, we will schedule a consultation call to discuss your desired travel plans, our services and process to assess whether we are a good fit. Upon agreement to move forward, we will issue a Client Agreement and invoice which may include a non-refundable planning fee. The planning fee covers our time, research, and supplier engagement needed to create your proposal, is earned by us upon commencement of research, regardless of whether a booking is ultimately made, and remains nonrefundable even if you cancel our services, your trip or revise your travel plans. The planning fee may vary based on trip length, number of travelers, complexity, overall costs, and will be disclosed during the consultation and confirmed in your invoice. The invoice must be paid and Client Agreement signed before detailed planning begins.
2.2 Proposal & Revisions
Once the non-refundable planning fee and signed Client Agreement have been received, we will begin researching and planning with our trusted Suppliers to prepare your proposal. The proposal may include up to three (3) options for your approval based on your preferences and requests and will include the Supplier’s terms and conditions.
We generally include up to two (2) revisions to your initial proposal at no extra cost. However, major changes in destination, travel dates, or the number of travelers may require a new or additional planning fee. Additional revisions beyond two may incur a charge of $50.00 per revision, which we will communicate to you prior to completing the revision. Any additional fees are due prior to revisions being made.
2.3 Deposit & Final Payments
Once you approve a proposal, you will receive a credit card authorization form that authorizes Revive and Roam, LLC to place a deposit or full payment with the applicable Suppliers for your booking on your behalf. All payments are due in full prior to departure in accordance with each Supplier’s terms and conditions.
Upon receipt of payment confirmation, we will provide a booking confirmation and payment receipt, along with reminder of the Supplier terms and conditions. Be mindful of any Supplier policies regarding payments, changes, or cancellations to the date(s), traveler(s), or destination(s), as some changes and cancellations may incur change fees from the Supplier.
If you paid a deposit, you will receive instructions for all remaining payments and their due dates, along with reminders. You must make all payments on time and in full. Failure to so do may result in (i) Supplier imposed price increases, fees, penalties, or cancellation of your booking in whole or in part; (ii) Revive and Roam may cancel your booking in whole or in part and apply the cancellation terms set out below for a cancellation by you; and (iii) your prior payments may be non-refundable under Supplier terms. You are solely responsible for all charges, fees, duties, taxes, and assessments arising out of your travel bookings.
Unless Revive and Roam provides prior written consent: (i) we are not the merchant of record (as defined by the U.S. Department of Transportation) regarding your travel services; (ii) we do not take possession of amounts you pay to Suppliers for travel services; and (iii) we are not responsible for any refunds payable to you by Suppliers.
2.4 Price Adjustments & Supplements
Prices in your proposal reflect known costs at the time of issue. Unless specifically listed, prices do not include other travel costs, fees, or taxes, including (i) fees imposed by or for airports, ports, stations, security, agriculture, customs, immigration, visas, passports or other government-imposed fees or taxes; or (ii) fees for meals, beverages, alcohol, minibars, entertainment, seat assignments, upgrades, excursions, hospitality, gratuities, copies, telecommunications, laundry, cleaning, bedding, parking, valet, insurance, taxis, transfers, departures, health, medical treatment or tests, vaccinations, pharmaceuticals or any other personal charges.
We reserve the right to adjust pricing before booking confirmation if Supplier rates, fuel surcharges, taxes, currency exchange, or other costs change. All Supplier prices and availability is subject to change without prior notice until you make full payment of deposits and other amounts due as agreed. All offers, incentives and Supplier promotions are subject to availability and may change without notice. You are advised to confirm reservations well in advance of your anticipated travel dates to avoid increases in fares and additional late booking fees.
If you request any name changes or corrections after booking, make late payments, or cancel your travel after booking, you may be subject to an additional fee of $100 per traveler plus any Supplier imposed penalties. Once full payment received, the price is locked except for Supplier-imposed costs (e.g. government fees, airport taxes, foreign currency variations) which are passed through to you.
We reserve the right to correct errors. In the event of any pricing error or omission, we reserve the right to adjust such pricing or make any other corrections. All offers, incentives and Supplier promotions are subject to availability and may change without notice. You are advised to confirm reservations well in advance of your anticipated travel dates to avoid increases in fares and additional late booking fees.
2.5 Credit Card Authorizations & Chargebacks
All payments must be backed by a valid credit card with your written authorization. By submitting a credit card authorization, you confirm that (i) you are an authorized user of the provided card, (ii) you authorize us or our agents to charge the provided card to purchase agreed upon travel services from Suppliers on your behalf, (iii) you authorize us or our agents to charge the provided card for payments on due dates agreed upon, and (iv) you authorize us or our agents, to credit to your card any amounts charged in error.
You are responsible for all costs, including any costs of recovery, for the following: (i) you provide us an incorrect card number, cvv number or mailing address; (ii) if our valid charges to your card are declined; (iii) if your card has insufficient funds on agreed upon payment due dates; and (iv) if your card account is closed or expires before you pay all amounts agreed upon. If any such event occurs, you agree that we have the right to suspend or cancel any booking, and you may not receive any refund amounts depending on Supplier terms and insurance coverage, if applicable.
You acknowledge you will not initiate any improper chargebacks. An improper chargeback is any dispute, reverse charge, refund or recollection submitted to your bank or credit card company for any reason that is not fraud. Before initiating any chargeback, you agree to contact us first to discuss any questions or concerns about the charges and provide an opportunity for us to work with you to attempt to resolve your concerns.
Revive and Roam reserves the right to dispute any chargebacks we believe to be improper, and to suspend or cancel your booking if an improper chargeback occurs. Improper chargebacks include, but are not limited to, (i) bookings marked non‑refundable, (ii) services already delivered, (iii) disagreements with cancellation policies, and (iv) force majeure events beyond our or Supplier’s control.
We reserve the right to collect any additional costs, fees and expenses associated with any such chargeback, reversal or recollection, including but not limited to, any legal fees, penalties, or costs. This section survives termination of these terms.
2.6 Right to Refuse
Revive and Roam reserves the right to decline an inquiry or service request or terminate a traveler relationship at our discretion, including where a traveler’s conduct poses a concern to the health, safety or welfare of our team, other travelers or conflicts with our values and these Terms. In such cases, refunds will be provided in accordance with our cancellation policy.
3. Supplier Relations, Agency Role & Disclaimers
3.1 Agency Role & Supplier Terms
We act as your agent in arranging travel services from Suppliers (e.g. airlines, hotels, cruise lines, tour operators, transportation companies, local guides or other independent contractors) on your itinerary and Revive and Roam is not the source or provider of the travel services.
We do not own, operate, or control any Supplier, nor guarantee their performance. Suppliers have sole responsibility and liability for their respective services. We make no representation or warranty, express or implied, regarding the pricing, value, quality, suitability, fitness, safety, non-infringement, or provision of (i) services provided by Suppliers or (ii) booking and other services that we may provide to you, which we provide “as is.”
Your contract for services is generally with the respective Supplier and you understand that by booking travel though Revive and Roam, you are also agreeing to the booking terms of each selected and approved Supplier. Your travel documentation (e.g. proposals, final itinerary, receipts, travel documents) identifies each Supplier and their applicable terms and conditions.
3.2 Third-Party Liability Disclaimer
We are not liable for errors, omissions, delays, injuries, losses, damages, accidents, irregularities, or misconduct by any party beyond our direct control, including Suppliers, even if caused by negligence, unless required by law.
If a Supplier declares bankruptcy, it may not be obligated to transport you or to provide refunds. Following bankruptcy, Suppliers may continue to provide all or some of the services or they may stop operations. In such case, other Suppliers may, but are not required to, provide alternative travel services to you. We are not permitted to provide refunds to you for Suppliers who have declared bankruptcy. Revive and Roam, LLC has no special knowledge about the financial condition of any Supplier.
Revive and Roam is not liable or responsible for any arrangements made independently of Revive and Roam including, but not limited to, airline, hotel, excursion, and travel protection related charges. If you make your own flight arrangements, Revive and Roam is not responsible for any loss resulting from cancellation or changes in international gateways, itineraries, or travel dates, and cannot assist you with any schedule changes or delays related to such air reservations. It may not be possible to earn frequent flyer or other loyalty points for reservations on your itinerary. With limited exceptions, hotel and airline rewards or points cannot be redeemed for travel arrangements made by Revive and Roam.
3.3 Changes or Cancellations by Suppliers
If a Supplier makes a “material change” (e.g. cancels your booking, significantly alters itinerary), we will notify you and attempt to secure alternatives. We shall not be liable beyond what we can recover from the Supplier. If no acceptable alternative is available, and you cancel, the standard cancellation terms will apply.
3.4 No Refund for Unused Services
If you cancel or miss part of your trip, there is no refund for unused portions unless the Supplier allows it.
4. Cancellations & Refunds
4.1 Your Cancellations or Change Requests
All cancellation and change requests must be sent to Revive and Roam in writing (via email or certified (or comparable) mail). Cancellation requests are effective on the date received.
You may not be entitled to a refund if you change or cancel your travel plans after confirmation of a booking for any reason. Supplier’s cancellation and refund policies will apply in addition to our administrative cancellation fees. Cancellation fees will be charged to the credit card or payment method you authorized to pay for travel services or deducted from the Supplier’s refund.
Supplier terms may not allow refunds if you change, cancel partially use, or do not use the services for any reason, including actual, threatened or fear of potential health matter, pandemic, epidemic, weather condition, terrorism, political unrest, or similar circumstance.
We cannot guarantee refunds, and we are not responsible for Supplier insolvency or failure to refund.
If you decide to change any portion of your confirmed arrangements prior to departure or during the trip, we will attempt to assist you. Certain bookings may not be able to be changed, and you will be responsible for any increases in cost imposed by the Supplier, as well as any change fees imposed by Supplier or Revive and Roam.
4.2 Refunds & Credits
If a refund is due and provided by the Supplier, it will be forwarded to you (less any non-refundable planning or service fees). Suppliers may issue credits or vouchers in lieu of cash refunds, in their discretion and based on their terms and conditions. We are not responsible for a Supplier’s failure to deliver a refund or their choice of refund option.
4.3 Force Majeure
We assume no liability for any loss, damage, cancellations, delays, or costs arising from a Force Majeure event. Force Majeure includes governmental actions, fires, floods, storms, natural disasters, pandemics, epidemics or other Acts of God or nature, wars, terrorism, insurrections, riots or strikes, failures of water, power, or communication utilities, or any other cause beyond our reasonable control.
In such cases, we will use our reasonable efforts to recover reimbursements or refunds from Suppliers and pass them to you if available, but we do not guarantee full recovery. You acknowledge that you may not receive a refund under such circumstances, and it is subject to the Supplier’s terms and conditions.
4.4 Travel Insurance
Revive and Roam strongly recommends that all travelers purchase travel insurance. Unless explicitly confirmed in writing, travel insurance is NOT included in the costs of your travel booking and is not required to purchase any travel services offered by Revive and Roam. Revive and Roam is not an insurer or licensed insurance broker, it does not have any liability for any coverage amounts, and its advisors are not qualified or authorized to answer technical questions about benefits, exclusions, and conditions of any of the insurance offered, nor evaluate the adequacy of a Traveler’s existing insurance coverage.
Revive and Roam offers travel insurance through third-party insurance providers like Allianz, Faye, or Travel Insured International.
Without travel insurance, you understand that your trip may involve (i) inherent risks and unplanned events; (ii) fees for changes and cancellations; and (iii) other unexpected costs, some of which may be non-refundable.
If you choose to purchase travel insurance you are responsible for reading and understanding all details and terms of the coverage for your itinerary, insurance may only cover those items expressly stated in the policy, that policies may include restrictions or pricing policies based on location at time of purchase, and that policies may exclude coverage for matters like pre-existing medical conditions, travel interruptions relating to pandemic, war or high risk activities and destinations.
If you decline to purchase travel insurance you (i) accept all risks relating to your travel; (ii) may lose up to 100% of the costs of travel bookings plus any cancellation and related fees charged by us and Suppliers; and (iii) you waive insurance protection relating to your travel including without limitation, changes and cancellations, baggage delays and loss, supplier defaults, medical costs, and accidents and emergencies, and any other damage, loss, cost, injury illness and death relating to your travel. A signed waiver is required before booking proceeds for any traveler declining travel insurance.
5. Risk, Assumption & Release
5.1 Assumption of Risk
You voluntarily assume the risk of travel including injury, illness, death, accidents, and delays. This includes any inherent risks including but not limited to uneven or slippery surfaces, changes in weather, contact or exposure to insects or animals, limited access to immediate medical assistance, physical exertion, use of equipment or manual therapies. We recommend you consider all known and unknown risks in your decisions.
5.2 Waiver / Release / Hold Harmless
To the fullest extent allowed by law, you release, waive, and hold harmless Revive and Roam, LLC and its officers, directors, employees, agents, contractors and assigns from all liability, claims, demands, or actions arising from any injury, loss, or damage arising out of or relating to your travel and participation in any travel services or activities, including negligence by us or others. This waiver and release is intended to be as broad and inclusive as permitted by North Carolina law, and if any portion is held invalid, the remainder shall continue in full force and effect.
5.3 Indemnification
You agree to indemnify, defend and hold harmless Revive and Roam, LLC, its owners, directors, employees, contractors, agents, and assigns from any claims, losses, or damages (including legal fees) arising from (a) your breach of these Terms, (b) acts or omissions by you or any traveler on whose behalf you signed and accepted these Terms, or (c) your failure to follow instructions or Supplier rules. This section survives termination of these Terms.
5.4 Cap
To the fullest extent permitted by law, Revive and Roam’s total liability to you for any claim arising from our services shall not exceed the total planning fees paid by you to us for the specific trip giving rise to the claim. In no event shall Revive and Roam be liable for any indirect, incidental, consequential, punitive, or special damages of any kind.
6. Traveler Responsibilities & Disclosures
6.1 Accurate Traveler Information
Names, dates of birth, passport/ID data, physical ability, dietary or medical needs must be accurate and timely. Name, date of birth and gender on your identification card or passport must exactly match the same information listed on your ticket and booking records. By providing personal information to Revive and Roam for travel booking purposes, you consent to that information being shared with Suppliers and applicable third parties as necessary to complete booking and provide travel services.
Name corrections after ticket issuance often incur fees (if allowed).
It is your responsibility to ensure that information on your tickets and confirmations is accurate at the time received. Any discrepancy between the reservation and travel documentation may result in denied boarding or undue delay at the airport causing missed flight and impact subsequent scheduled travel bookings. If you do not notify us within 24 hours of receipt for necessary corrections, we bear no responsibility for any additional costs associated with making the necessary corrections.
6.2 Health & Medical Conditions
You must notify us in advance of any disabilities, medical conditions, or pregnancy so we can assess feasibility with Supplier and request any necessary accommodations. Failure to disclose critical medical conditions or special needs may void your services or result in withheld refunds.
We are not responsible if any Supplier refuses service due to health or mobility restrictions.
You must have the proper immunizations, health screenings and documentation of such before travel. We are not responsible for the accuracy of any requirements or your failure to obtain them. You should check with your medical provider before booking if you are concerned about any medications or required immunizations. Visit the U.S. State Department website https://travel.state.gov/ for information about medical needs based on destination. You should also visit the Center for Disease Control https://wwwnc.cdc.gov/travel for information concerning health issues and travel.
6.3 Documentation, Visas & Entry Requirements
You are responsible for obtaining valid passports, visas, inoculations/vaccines, medical insurance, and any required documentation under applicable government regulations. Passport cards are not accepted for most international travel.
Not all countries admit travelers whose passports expire within six (6) months of travel or anticipated date of return; minors may require parental consent letters. Please know that the rules of each country regarding entry or exit may change at any time.
We are not liable for denied boarding, entry denials, or delays due to improper documentation or personal conditions.
The U.S. Transportation Security Administration (TSA) and U.S. Department of Homeland Security (DHS) advise that everyone carry acceptable identification to board a flight, whether domestic or international. Acceptable forms of identification can be found at www.tsa.gov. Air travelers with identification that does not meet the REAL ID ACT requirements, as of May 7, 2025, may need to use alternate ID forms (like passport, military ID etc.) to pass TSA security checkpoints even for domestic travel. Visit https://www.tsa.gov/real-id for additional information.
Revive and Roam does not control, or issue visas or visa waivers related to travel. Should you not receive a visa, Revive and Roam is not responsible for lost payments made toward your trip.
Each country holds different views on past criminal offenses, whether in or outside of their borders. We do not inquire about criminal records to protect Traveler privacy. However, we recommend if you have a current or prior criminal offense, contact the country directly for entry and exit requirements or seek legal advice to confirm your ability to travel to your desired destination. You can visit U.S. State Department website https://travel.state.gov/en/international-travel.html for additional information on requirements. Revive and Roam is not liable for any losses expenses or refunds to you or anyone in your travel group if you are denied access to a country, airplane, ship, or Supplier’s travel product or service due to a conviction.
6.4 Travel Advisories & High-Risk Destinations
Travel to certain destinations may involve greater risk than others. Revive and Roam urges Travelers to remain informed daily of current news events and travel prohibitions, warnings and advisories issued by the U.S. government before booking travel to international destinations and before departure. Information on health and safety conditions, level of risk and more can be found at: www.tsa.gov, www.dot.gov, www.faa.gov, https://wwwnc.cdc.gov/travel, www.cbp.gov, and www.state.gov.
The Smart Traveler Enrollment Program (STEP) is a free service provided by the U.S. Government to U.S. citizens who are traveling to, or living in, a foreign country. STEP allows you to enter information about your upcoming trip abroad so that the Department of State can better assist you in an emergency. Registration is recommended and provided by going to https://step.state.gov/step/
If you choose to travel to a location under a travel warning or advisory, you assume additional risk; Revive and Roam does not warrant or represent that travel to any destination is advisable or without risk and we disclaim liability for costs, damages or losses resulting from your decision to travel to such destinations.
6.5 Baggage, Prohibited Items & Airline Policies
Your airline ticket, once purchased, may be non-refundable and non-transferable, subject to Supplier terms and conditions. You acknowledge and agree that Revive and Roam does not have the right to control the operations of independent airlines, and agree that we are not liable for any personal injury, property damage, illness or death related to your purchase of air tickets or air travel including, but not limited to any error, omission, injury, loss, accident, or delay caused by any act, error, or omission of the airline, including their failure to deliver services, partial or inadequate services, airline policies including refund or rebooking, fees for baggage, whether checked or carry-on, fuel increases, bankruptcy or cessation of operations.
Revive and Roam is not responsible for any air schedule changes. Supplier policies and requirements may differ between domestic and international flights, including fare refundability, transferability, recommended airport arrival times, advanced check-in times, airline ancillary services and baggage allowances, all of which are subject to change.
Failure to use a reservation may result in automatic cancellation of all continuing or return flights, as well as forfeiture of airfares. Due to enhanced security, it is strongly recommended that you check in a minimum of 2 hours prior to scheduled departure for domestic flights and 3 hours prior to scheduled departure time for international flights.
Airline e-tickets generally expire one year from date of issuance unless carrier fare rules provide otherwise.
Airline seat assignments are not guaranteed and may change at any time. Revive and Roam has no control over airline seat assignments.
You are subject to airline and carrier baggage, security, and hazardous materials rules (e.g. no explosives, corrosives, etc.). Federal law forbids carrying hazardous materials aboard aircraft in your luggage or on your person. A violation can result in five years’ imprisonment and penalties of $250,000 or more (49 U.S.C. 5124). Hazardous materials include explosives, compressed gases, flammable liquids and solids, oxidizers, poisons, corrosives and radioactive materials. Examples include Paints, lighter fluid, fireworks, tear gases, oxygen bottles, and radioactive materials. There are special exceptions for small quantities (up to 70 ounces total) of medicinal and toilet articles carried in your luggage and certain smoking materials carried on your person. For further information, contact the relevant airline representative(s) on their itinerary. Restrictions on hazardous materials and other prohibited items are listed at https://www.tsa.gov/travel/security-screening/whatcanibring/all-list.
We are not liable for extra baggage charges or confiscation of prohibited items.
Insecticide Notice: Travelers are encouraged to check the list of countries that require airlines to treat passenger cabin with insecticides prior to the flight or while on the aircraft at the U.S. Department of Transportation https://www.transportation.gov/airconsumer/spray.
6.6 Reconfirmation & Changes
You should reconfirm flight times at least 24 hours prior to scheduled departure (consider at least 72 hours for international departures) directly with the airline in case of any last-minute changes or delays. We are not liable for missed connections, schedule changes, or delays by Suppliers beyond our control.

These services are not medical treatments and we can not guarantee any regulatory compliance. Wellness services are not a substitute for medical treatment or a professional diagnosis. Revive and Roam is in no way responsible for the medication or medical condition of any traveler. You may be required to disclose any medical conditions, injuries, allergies, or pregnancy prior to participating in any wellness service. Participation in any wellness service is voluntary, and travelers assume all associated risks.
If you have a medical and/or a physical disability, it is your responsibility to check first with your medical practitioner to confirm if it is suitable for you to travel and participate in the service(s) applicable to your travel arrangements. Depending on your medical and/or physical disability the Supplier may require a letter from your medical practitioner clarifying your condition. It is the Suppliers’ right to make the decision if they can or cannot accept your participation in the service(s) provided. Revive and Roam will not be responsible for any support services, or lack thereof, provided by Supplier or the third-party staff or medical support.
6.8 Cultural & Local Experiences:
Certain cultural or local experiences may involve extended walking, uneven terrain, steps, inclines, or rural environments where paved pathways and accessibility may be limited. By choosing to participate, travelers acknowledge that they are in suitable physical condition for these activities and accept responsibility for assessing their own abilities.
